QR Codes That Actually Scan: A Practical Guide

A QR code that does not scan is worse than no QR code, because someone tried. Almost every failure comes down to one of four things, and all four are avoidable before you order.

1. Contrast matters more than size

A scanner has to tell modules apart. That means dark code on a light background, with real separation between the two.

The combinations that cause trouble are the ones that look best in a brand deck: mid-tone on mid-tone, two similar brand colors, or a light code on a dark base. Inverted codes (light on dark) do work with many modern phone cameras, but not all — and “most phones” is not a good enough success rate for signage on a wall.

If your brand colors are both mid-tone, use them for the frame and keep the code itself dark on light.

2. Leave the quiet zone alone

Every QR code needs a margin of clear space around it, and scanners genuinely rely on it. Crowding text, a logo, or a border right up against the code is a common cause of slow or failed scans. Give it room.

3. Size against scanning distance

The working rule of thumb is that a code should be roughly a tenth of the distance you expect people to scan it from. A code read at arm’s length from a table can be small. One on a wall that people scan from a few feet away needs to be substantially bigger.

The other factor is how much data the code holds: a long URL means more, finer modules in the same physical area. Short links scan far more reliably at small sizes — which leads to the next point.

4. Use a link you control

This is the one that costs real money. A printed code is permanent. If you encode a URL directly and that page later moves, the whole batch becomes scrap.

Encode a short link or a redirect you own, so you can repoint it later without reprinting anything. It also keeps the code visually simpler, which helps at small sizes. And confirm the destination is live before production — not after.

It also means the code survives being cleaned, which is usually the actual failure mode for table-top codes.

Always test a sample

Before committing to a bulk run, scan a sample the way customers will: under the real lighting of the room, at the real distance, on a couple of different phones. Glare is the variable people forget — a code that scans perfectly on a desk can fail under a downlight that reflects off the surface.
